1. RESERVATION PROCEDURE
Reservations for stays at the Zakopiański Dwór Guesthouse may be made online, by e-mail or by telephone. Telephone and e-mail reservations require the provision of several essential pieces of information necessary to complete the reservation. These include: the Guest’s first and last name, e-mail address and telephone number.
Upon receipt of a reservation request, the Reception sends the Guests a document of Preliminary Reservation Confirmation. The reservation must be confirmed by paying a deposit in the amount of 100% in the case of a non-refundable offer and 50% of the cost of stay in the case of a refundable offer, within the period agreed with the Reception from the moment of receiving the Preliminary Reservation Confirmation document. The bank account number is indicated in the preliminary reservation confirmation.
After the deposit has been credited, the reservation is confirmed by e-mail or by telephone. Failure to credit the deposit within the agreed period results in automatic cancellation of the reservation. Payment of the deposit is tantamount to acceptance of the Guesthouse regulations.
2. PAYMENTS
The price list for the Guesthouse services is available on the Guesthouse website and at the Reception. We reserve the right to make changes to the price list. The Guest settles the payment for the stay on the day of arrival. Forms of payment: cash, payment card.
Failure by the Guest to use all or part of the stay during the reserved period does not result in a refund of the payment for the service, nor in a reduction of the service price for the unused period.
Stays and all additional services related to the hotel service may be settled on the basis of a fiscal receipt or a VAT invoice. Data for the VAT invoice must be provided at the time of making the reservation.
NOTE: International transfers are subject to additional fees charged by the bank.
3. GUESTHOUSE REGULATIONS
- These house rules are issued by the Owner of the Zakopiański Dwór Guesthouse*** in order to ensure order, safety of Guests and their property.
- By signing the registration card, the Guest undertakes to comply with the Guesthouse regulations. The regulations are available for inspection at the Reception and in each room.
- The regulations apply to all persons staying on the premises of the Guesthouse.
- Rooms in the Guesthouse are rented on a hotel-day basis. The hotel day begins at 14:00 and ends at 11:00 on the day of departure.
Guests who do not check out by 11:00 will be charged for an additional hotel day at the price applicable on that day.
- The basis for Guest check-in is the presentation of a photo identity document at the Reception and signing of the registration card.
The Guest is obliged to pay the total or remaining amount due for the ordered services on the day of commencement of the stay, when completing the check-in formalities.
- During the stay at the Guesthouse, the Guest is not entitled to transfer the vacated room to other persons, even if the period for which the stay has been paid has not yet expired.
In the event of the Guest resigning from the stay during a hotel day, the Guesthouse does not refund the fee paid for subsequent days of stay.
- The presence of unregistered persons in the Guest’s room is prohibited. Bringing an unregistered person into the room is tantamount to the room renter’s consent to pay a fee for the unregistered person according to the price list available at the Reception.
- The Guesthouse provides services in accordance with its category and standard. The Guesthouse is classified as a *** (three-star) Guesthouse. Information on the requirements for a *** category guesthouse is available at the Reception. In the event of any objections regarding the quality of services, the Guest is requested to report them immediately to the Reception, which will allow the staff to respond and improve the standard of services provided.
- The Guesthouse is obliged to ensure:
- conditions for full and unrestricted rest;
- a safe stay, including the security of maintaining confidentiality of information about the Guest;
- professional and courteous service in all services provided at the Guesthouse;
- room cleaning during the Guest’s absence, and in the Guest’s presence only upon their request;
- technically efficient services; in the event of defects that cannot be removed, the Guesthouse will make efforts, within its capabilities, to change the room or otherwise eliminate inconveniences.
- Additionally, at the Guest’s request, we provide the following services free of charge: wake-up calls at a specified time, providing information related to stay and travel, storage of money and valuables in the deposit during the Guest’s stay at the property, luggage storage.
- Due to fire protection requirements, it is forbidden to use electrical devices in the rooms that are not part of the hotel equipment, such as heaters, electric kettles, toasters, with the exception of shavers, depilators, original chargers, laptops, telephones and cameras.
- Items left behind by the Guest will be sent to the indicated address at the Guest’s cost and request. In the absence of such instruction, the items will be stored by the Guesthouse for a period of 3 months from the date the items were left.
- The Guest bears material responsibility for any damage or destruction of the Guesthouse equipment and technical devices caused intentionally or unintentionally through the Guest’s fault.
- Night silence applies from 23:00 to 7:00 the following day. The behaviour of the Guest and persons using the Guesthouse services should not disturb the peaceful stay of other Guests. The Guesthouse may refuse to continue providing services to a person who violates this rule.
- Guests under the influence of alcohol or disturbing the peace of others by their behaviour will not be admitted to the Guesthouse (Art. 51 of the Code of Petty Offences).
- Throughout the Guesthouse, including windows, rooms, bathrooms, balconies and the terrace – in accordance with the Act of 8 April 2010 amending the Act on the Protection of Health against the Consequences of Using Tobacco and Tobacco Products and the Act on the State Sanitary Inspection (Journal of Laws No. 81, item 529) – a total ban on smoking cigarettes, tobacco products and e-cigarettes applies. Violation of the smoking ban results in a fee of PLN 400 for each confirmed case and is payable by the Guest without prior notice after the Guesthouse staff confirms that such an event has occurred.
- Each time the Guest leaves the room, for safety reasons, they should close the windows, turn off the television, switch off the lights, close the taps and lock the door. The key should be left at the Reception or taken at the Guest’s own responsibility. For loss of the key and chip, a fee of PLN 150 is charged.
- It is forbidden in the Guesthouse to walk in ski boots, as well as to bring ski equipment, bicycles and baby strollers into the rooms. These items should be stored in designated areas.
- The Guesthouse is not responsible for damage to or loss of a car or other vehicle belonging to the Guest. The Guesthouse has an unguarded parking lot for passenger cars, closed during night silence.
- In the event of violation of the provisions of the Regulations, the Guesthouse may refuse to provide services to the person who violates them. Such a person is obliged to immediately comply with the Guesthouse’s requests, settle the amounts due for services rendered so far, pay for any damages or destruction caused, and leave the Guesthouse.
- We care about ecology. Join us. Hang the towel if you wish to use it again. Leave the towel on the floor only if you wish it to be replaced. Bed linen is changed once every 7 days. If you wish to have bed linen changed earlier, please report this to the Reception.
- The Guesthouse does not accept animals. In the event of violation of this ban, the Guest will be charged a fee of PLN 1,000 for disinfection and deodorization of the room.
- If two separate duvets are preferred instead of one double duvet (in rooms with a double bed), this must be reported in advance before arrival at the Guesthouse. If reported after check-in, changing the bed linen is subject to a fee of PLN 30.
4. COMPLAINTS
Guests have the right to submit complaints regarding reservations and stays at the Property. The Property accepts complaints for consideration that are: reported during the stay at the Reception or sent electronically to the following address: recepcja@zakopianskidwor.pl
within 14 days from the planned start date of the Guest’s stay at the Property, if the stay did not take place on the date resulting from the reservation.
The Property reserves a 14-day period to consider the complaint submitted by the Guest. Within this period, the Property will inform the Guest of the outcome of the complaint review.
The Guest consents to the processing of personal data for registration purposes and inclusion of the Guest’s data in the Guesthouse database in accordance with the Act of 29 August 1997 on the protection of personal data (Journal of Laws 2002 No. 101 item 926, as amended). The Guest has the right to access and edit their data.
